SaaS disputes often focus on authority to sign, implementation, use, renewal, cancellation or alleged nonperformance. The collector needs the commercial story and the documents behind it.
Start with the contract chain.
Gather the master agreement, order form, statement of work, amendments, renewal notices and incorporated online terms. Identify the contracting entity and signer.
Build a service timeline.
Record provisioning, onboarding, administrator access, support history, usage evidence, invoices, cancellation requests and the date access ended. Do not overstate what a login or usage record proves.
Describe the exact defense.
Separate “we did not use it” from “the service was unavailable,” “the signer lacked authority,” or “we cancelled under the agreement.” Attach the customer's words and your response.
Give the agency the renewal facts.
If the balance depends on an automatic renewal, identify the notice, renewal date, cancellation deadline, governing terms and communications. Legal requirements can vary, so unresolved enforceability questions may need counsel.
