Manufacturing and wholesale balances often involve multiple orders, partial deliveries, returns, allowances or quality claims. The agency needs a ledger that can be traced back to the controlling terms and transaction documents.
Connect the transaction documents.
- Credit application, agreement and payment terms
- Purchase orders and order acknowledgments
- Invoices, packing lists and delivery confirmations
- Returns, credits, rebates and short-pay records
- Quality notices, inspection reports and your response
- Personal guaranty or security documents, if applicable
Reconcile at invoice level.
Show original charges, payments, credits and the remaining balance for each invoice. Identify unapplied cash and explain deductions rather than presenting only a customer-level total.
Preserve the customer’s stated reason.
Distinguish inability to pay from a claimed defect, shortage, late delivery, pricing issue or unauthorized order. Attach the evidence that supports or answers the claim.
Portfolio view
Group accounts by age, balance, dispute status, documentation completeness and customer condition. That helps an agency explain priorities instead of treating every invoice identically.
